How to Import Contacts into Reluxity CRM

You can easily import your contacts into Reluxity CRM using a CSV file. This guide will walk you through the process step-by-step.


Accessing the Import Contacts Tool

  1. Log into the Reluxity CRM backend.

  2. Click the gear icon located in the top-right corner.

  3. Find and select Import Contacts from the menu.


Step 1: Upload Your CSV File

  • Prepare a CSV file containing your contacts’ information. Make sure the file is properly formatted with column headers (e.g., First Name, Last Name, Email, Phone).

  • On the Import Contacts page, click Choose CSV File and select your file.

  • Click Upload CSV.

Note: Only CSV files are accepted. If your file is not CSV or contains errors, you will see an error message.


Step 2: Map Your CSV Columns to Contact Fields

  • After uploading, you will see a list of your CSV file’s column headers on the left.

  • For each column, use the dropdown on the right to select the matching contact property in Reluxity CRM. For example:

    • Map “First Name” column to First Name

    • Map “Email” column to Email

    • Map “Zip” or “Postal Code” column to Postal Code

  • If a column does not apply or you do not want to import it, select Select to skip.

Custom Fields

  • If you have custom fields set up in your CRM, they will appear at the bottom of the dropdown list for mapping. You can assign CSV columns to these custom fields as needed.


Step 3: Assign Lists and Tags (Optional)

  • On the right side, you can assign your imported contacts to one or more Lists and Tags for better organization.

  • Use the dropdown menus to select existing Lists and Tags.

  • To add more than one List or Tag, click the Add List or Add Tag buttons.

  • To remove a selected List or Tag, click the Remove button next to it.


Step 4: Choose Whether to Update Existing Contacts

  • Below the Lists and Tags section, you have the option to decide if existing contacts (matched by email) should be updated:

    • Yes — update existing contact details with the imported data.

    • No — skip importing rows where the contact email already exists.


Step 5: Import Contacts

  • After mapping fields, assigning lists/tags, and setting your update preferences, click the Map Fields and Import button.

  • The system will process the CSV and import your contacts.


What Happens During Import?

  • New contacts will be inserted into the database.

  • If enabled, existing contacts may be updated based on your selection.

  • Each new contact will be assigned a unique ID.

  • Contacts will automatically be added to the selected Lists and Tags.

  • If the email address does not already exist as a user account, a new user account will be created for that contact.


Import Limits and Notifications

  • Depending on your account status, you may have limits on how many contacts you can import at one time (for example, 50 contacts for basic users).

  • If your file exceeds this limit, you will see an error message and the import will stop after the allowed number of contacts.

  • After import, a summary will show:

    • Number of new contacts inserted

    • Number of existing contacts updated

    • Number of contacts skipped

    • Number of errors encountered (if any)


Tips for a Successful Import

  • Ensure your CSV file is well-structured and saved with UTF-8 encoding.

  • Use clear and consistent column headers to simplify mapping.

  • Review custom fields beforehand to make sure they exist if you want to map to them.

  • Double-check your Lists and Tags to assign contacts correctly.

  • If you want to update existing contacts, choose the update option explicitly.


If you encounter any errors during the import process, check the error messages displayed on the screen and verify your CSV file format and data accuracy.
